The Marina Office Administrator is a key link between the property, accounting, and operations teams. This role ensures accurate accounting processes, supports office operations, and delivers exceptional customer service to enhance the overall marina experience.
Working closely with the General Manager (GM), the Office Administrator oversees billing, accounts receivable, accounts payable, and inventory tracking, all while maintaining a welcoming and professional environment for customers and vendors.

Responsibilities

  • Customer Service & Communication:
    • Manage phone calls, emails, and other correspondence.
    • Greet and assist customers and vendors with a friendly and professional demeanor.
    • Provide information about marina amenities, rates, and availability for slip or dry storage sales.
  • Accounting Management:
    • Invoice customers monthly and manage accounts receivable collections.
    • Process accounts payable, including coding and submission to the system.
    • Prepare daily deposits (credit cards, checks, and cash) and reconcile them with marina software reports.
  • Reporting & Compliance:
    • Complete monthly insurance audits, notify customers of missing/expired policies, and submit reports to the home office.
    • Prepare monthly inventory counts, assist with purchasing, and report inventory updates.
    • Submit required regulatory filings to maintain permits and licenses.
  • Operational Support:
    • Monitor adherence to company policies and procedures.
    • Collaborate with the GM and home office on operational and customer service goals.
    • Take on additional duties as assigned by management on as needed basis.

Skills & Qualifications

  • Education & Experience:
    • Associate’s degree in accounting or a related field (preferred).
    • At least 5 years of administrative and accounting experience (preferred).
  • Skills:
    • Proficient in Microsoft Office, especially Excel; experience with QuickBooks is a plus.
    • Strong organizational, multitasking, and prioritization skills.
    • Excellent interpersonal, communication, and customer service abilities.
    • Self-starter with the ability to work independently and as part of a team.
Working Conditions:
  • Office-based position in a marina environment.
  • May involve frequent interruptions to address customer or operational needs.
